Answers to Frequently Asked Questions
About The Buchanan Home And School
What is
the Buchanan Home and School?
Parent volunteers of students at Buchanan Elem. School run H & S. We provide
assemblies, some field trips, bussing costs for certain trips, yearbooks for
every student, and various other items that the teachers request. We hold a
Santa Sale for the students to purchase gifts for their family members each
Dec. We sponsor book fairs, skating parties, science fairs and reading
challenge assemblies. Money earned from our book fair goes to buying books
for each classroom and the library. We host an end of year field day where
parents help with activities that run throughout the day for the whole
school. H&S provide popcorn and drinks for each student as well as lunches
for the helpers. We have one or two fundraisers each year that hopefully
generates enough money to fund all of these projects. The H & S also
purchases the items to be used in the school store, where students are able
to choose item to purchase with the Buchanan Bucks they've earned.
Where can I get information about

Home & School Minutes - March 16, 2009
Present: Maryann Haines (President), Jennifer Hepner (Vice-President), Mary
Herto (Treasurer), Susan Taylor (Secretary), Gary Henry, Laura Stimely,
Leslie Sauer
Maryann Haines called the meeting to order.
There was no Secretary's report as the group has not met in 3 months.
Mary Herto gave the Treasurer's report: The checking account has a negative
balance at this time. Money will be moved from the savings account to cover
the needed amount in the checking account.
Leslie Sauer reported the Santa Sale was a success.
Jennifer Hepner reported the Reading Challenge was now over and seemed to go
well. The number of books read was considerably lower this year despite
having more students. It was suggested this may have been due to the
Reading Challenge being shorter and having less assemblies.
Mary Herto reported the school store is going well. The webkinz were a
popular item and have been sold out for this school year.
The pie sale has begun and will end on Wednesday. Home & School members
will meet Monday, March 23rd at 6:30 pm to help tabulate the sales. Pies
will be delivered on April 8th. There is a need for volunteers on April 8th
to help distribute the pies. As per the Principal's request, parents will
have to enter from the side door in order to limit parent's access to the
school.
The Principal has requested that Home & School cover $2500 for Shaver's
Creek or 5th grade would no longer be able to attend this field trip. Home
& School is willing to get parent volunteers to distribute the ham
sandwiches in order to continue with the ham sandwich sale without
disrupting the classes. If this does not cover the cost of Shaver's Creek,
Home & School is willing to assist with the cost of the trip. This would be
covered by the Giant A+ rewards and the box tops rewards, if taken over by
Home & School.
Books for Baseball has contacted Maryann about Home & School participating
again this year. Books for Baseball is sponsored by the Spikes in State
College. If the children read a certain number of books, they can earn a
free ticket to a home Spikes game. Home & School was in favor of this, but
had concerns that some families did not receive their tickets last year.
Maryann will set this up after addressing these concerns with her contact at
Spikes.
Will Friend had contacted Maryann about setting up a spring assembly. A
spring assembly (a puppet show) is already scheduled for May 8th at 1:30.
Will Friend will not be scheduled.
Field day will be May 29th. There will be a jazz band assembly in the
morning, allowing the parents time to set-up the stations. It was agreed
that there will be a bounce house again this year. Susan will order new
dodge balls from the Campbell's points. This year, we will need 2-3 new
events. It was suggested that we have a dance station at the DJ booth.
This will be rediscussed at the next meeting. Everyone is encourage to come
with ideas for additional events.
Election of officers will take place in May at field day. Nominations will
occur at the next meeting. Maryann announced that due to her upcoming
schedule, she will no longer be able to be President of Home & School. Mary
announced that next year will be her last year in Home & School so someone
new will need to be Treasurer next year to learn the position. Mary is
willing to help the new Treasurer next year.
The next Home & School meeting will be Monday, April 20th.

library. The teachers have selected the time frames they will be taking
their students to the book fair. If a student would miss their class time

convenient to the teacher. Family night will be November 13th from 6-8 pm.
This will be during Open House. Volunteers are needed to help during school
hours and at family night. This year Clifford will be visiting the book

conflict with the testing.

the end of the Reading Challenge, books will be pre-selected from the book
fair in which the students will then be able to choose from if they read 100
books. Maryann Haines will find out if Home & School will be allowed to
provide a popcorn party for classes with 100% participation.

Susan Taylor is going to see about having a Box Top and Campbell’s

Field Day – NO CHAIRPERSON
February 19, 2008
-
Present were Amy Smith (President), Maryann Haines (Vice President),
Mary Pursel (Treasurer), Jennifer Hepner (Secretary), Sheila Tipton, Andrea
Grassmyer, Natalie Sutton, Susan Taylor, and Jessica Wilson
-
Amy Smith called the meeting to order.
-
Secretary’s Minutes: Jennifer Hepner read the minutes from our last
meeting in January.
-
Treasurer’s Report: Mary Pursel reported that there is $4,035.85 in
the checking account and $5,331.81 in the savings account. One check for
$83.75 from the Fall Fundraiser came back. Mary has sent the family a
certified letter. In the past the student’s report card has been held until
the money they owe Home and School was paid. We will see if Mr. LaMarca
would be willing to do this.
-
The Book Fair started today and is going well so far. Family Night
will be held tomorrow, Wednesday, February 20th from 6:30 – 8:30
p.m. The thirty minutes allotted for each class this year has been plenty
of time. There was some confusion because two teachers switched days and
the one class was not aware and didn’t all have money. Otherwise,
everything is going fine.
-
The Reading Challenge ended on January 31st. The final
assembly was held February 8th. We did the usually prizes and added two new
ones. A $50 gift card to Wal-Mart was given to the top class, Mrs. Rocco’s,
and to the top reader, Johnathon Beers. They were both very surprised.
Dominoes graciously donated 12 pizza gift certificates and 12 breadstick
gift certificates towards the grand prizes. After some discussion it was
discovered that there were maybe some issues with the Reading Challenge that
need addressed. Some students who should have gotten goodie bags for
participating didn’t come home with anything. Some parents felt their
teacher didn’t account for all the papers their student turned in. Other
parents said their teachers never gave them copies of the book forms to fill
out at home after they sent their first one in. We also had another teacher
discouraging their students from reading too much. Jennifer Hepner will
address this with Mr. LaMarca. We will see if we can send out a comment
form to the teachers to see what is going on.
-
The school store is running fine. There is plenty of stuff to get
through the rest of the school year.
-
The Spring Pie Sale started today, February 19th and will
end March 3rd. Money will be due with the orders. Home and
School members will get together at 6:30 p.m. on March 5th to
tabulate the orders and get everything ready to send in. The pies will be
delivered on March 19th, in time for Easter, as usual. The
student in each grade that sells the most pies will win a $20 gift card from
Wal-Mart.
-
Amy Smith stated that she will be resigning as President after this
year. We will have nominations for next year’s officers at the April
meeting, and then we will vote on officers at Field Day. Maryann Haines may
be willing to take over as President next year. As preparation for this
Leslie Sauer has taken over the production of the yearbooks. Jennifer
Hepner stated that she may be willing to step up as the Vice President and
therefore the Secretary position will probably be open. Mary Pursel said
she was willing to remain Treasurer unless someone else wants the job, but
someone should start learning the job since she won’t have a student at
Buchanan after two more years.
-
A letter about the Dominos Pizza Nights was sent out outlining the
upcoming dates so parents know ahead of time and can plan to order if they
choose.
-
Field Day has been moved to Friday, May 23rd, rain or
shine. We discussed new ideas of events. We will sit down at another
meeting closer to time and plan out the day and schedule people to work at
each activity since there is currently no chairperson for this committee.
We will have Dominos delivery pizzas for lunch for all the volunteers
again.
-
We discussed ideas for Teacher Appreciation Week (May 4 – 10) but
will discuss it further at the next meeting. Tina Colyer had agreed to head
up this committee (Hospitality Committee) so Jennifer Hepner will give her a
call about this and see if she can make it to the next meeting.
-
Home and School meetings are the third Tuesday of every month. The
next meeting will be Tuesday, March 18, 2008 at 6:30 p.m. in the Buchanan
library.
-

January 15, 2008
-
Present were Maryann Haines (Vice President), Mary Pursel
(Treasurer), Jennifer Hepner (Secretary), Sheila Tipton, Andrea Grassmyer,
Natalie Sutton, Susan Taylor, Fiona Leslie Treaster, and Mr. LaMarca.
-
Maryann Haines called the meeting to order.
-
Secretary’s Minutes: Jennifer Hepner had no minutes from our last
meeting in November.
-
Treasurer’s Report: Mary Pursel reported that there is $4455.39 in
the checking account and $5,331.81 in the savings account.
-
The Santa Sale went well. The teachers were pleased with how it went
and how much help there was. We profited approximately $500 from the sale.
-
The Reading Challenge will end on January 31st. There is
a prize drawing assembly coming up on January 21st . Jennifer
Hepner will set up a date for the final assembly in February with Mr.
LaMarca.
-
The school store is put together and back up and running on its
bi-monthly schedule. There are enough supplies to get through a few months
yet.
-
So far, after three months, we have aided in the sales of 47 pizzas
on Dominos Pizza Nights and therefore we have raised $94. This will
continue on through the rest of the school year and is always on the second
Thursday of the month.
-
The Book Fair will be held from 8:30 – 11:30 a.m. on February 19th
and 20th. We will set up at 6:30 p.m. on Monday, February 18th
in the library and then tear down on Friday, February 22nd at
4:00 p.m. There will be a sign up sheet for the teachers to choose a time
slot. Each class will have a half an hour at the Book Fair this year.
There will be a make up day on Thursday, February 21st from 9:00
– 10:00 a.m. for kids who were absent on their class’s day. Family Night
will be held Wednesday, February 20th from 6:30 – 8:30 p.m.
Fiona Closson chairs this committee and will get things set up and work on
getting help for this event.
-
The Spring Pie Sale will start February 19th and end March
3rd. Money will be due with the orders. Home and School members
will get together at 6:30 p.m. on March 5th to tabulate the
orders and get everything ready to send in. The pies will be delivered on
March 19th, in time for Easter, as usual. The student that sells
the most pies will win a $50 gift card from Wal-Mart. Sheila Tipton chairs
this committee and will get things set up and work on getting help for this
event.
-
The Strodes Mills Middle School Jazz Band is willing to do an
assembly for the kids again this year but has requested $50 to help with
busing costs. Home and School agreed to pay to have them come. We would
like to arrange that concert for the morning of Field Day as we have in the
past. It worked out well that way and kept everyone entertained while Home
and School set up for Field Day.
-
Field Day will be Friday, May 16th, rain or shine. The
dunk tank was discussed and it was agreed to have it again this year and
that Mr. Tipton would be able to help transport it from Steele’s to the
school that morning to avoid a delivery fee. We plan to have the same
events as last year. We will sit down at another meeting closer to time and
plan out the day and schedule people to work at each activity since there is
currently no chairperson for this committee.
-
Home and School meetings are the third Tuesday of every month. The
next meeting will be Tuesday, February 19, 2008 at 6:30 p.m. in the Buchanan
library.
October 16, 2007

the checking account and $5,303.14 in the savings account. She also

Yearbook – Maryann Haines
o
Santa Sale – Leslie Treaster (would like a second chair, this
is a large job)
o
Spring Pie Sale – Sheila Tipton
o
Book Fair – Fiona Closson
o
School Store – Bryon Haines and Denise Smith
o
Assemblies – Fiona Closson
o
Hospitality – Tina Colyer

Skating Party – possibly Mrs. Carrington
o
Field Day – NO CHAIRPERSON
-
Susan Taylor has spoken with Domino’s about the fundraiser nights.
They will be the second Thursday of every month. If you order food those
nights a part of the proceeds will come back to the school. Susan is
waiting on paperwork to come in from Domino’s. We will get more information
later.
-
Jeannie McCartle has started working on the Campbell’s Soup Labels
Project. Paperwork was already sent home to the parent explaining what
labels to send in and Jeannie put out the collection “cans” around the
school and will see how that goes. She is also waiting on more information
from Campbell’s about the program and the amount of money we will receive
per label. If participation is low we might do an incentive program such
as, whichever class brings in the most labels in a month will get a pizza
party.
-
The Fall Fundraiser has been going great so far. The orders have all
been sent off to the company and only about $25 is still not collected for
the orders. We sold $14,926.80 worth of items. Of that, $7,463.40 is our
profit. We will have to pay for our part of the rewards out of that money
but that should be less than $1000. The Magic Show Assembly is set up for
Friday, January 18th, 2008. We need to schedule the Build-A-Bear
Assembly for some time in December. Andrea Grassmyer is going to check on
dates with Mr. LaMarca and then get back to our rep. Andrea also thanked
everyone for helping get the orders ready to send in last Thursday night.
-
The Reading Challenge kicked off Monday, October 15th with
a brief assembly. Jennifer Hepner explained to the kids about the rules and
rewards for the Reading Challenge and handed out all the paperwork to the
teachers. The first prize assembly won’t be until December.
-
The Skating Party is all set for Tuesday, November 20, 2007 from 6:00
– 8:00 p.m. at the Carousel Skating Rink. Maryann Haines created a form for
the kids to fill out and bring to be admitted into the party if a parent is
not staying with them. It has their name and an emergency contact on it.
Every student will be given one of these.
-
The School Store has been going well. We will continue having it
every week through November. There is no School Store during December.
Once we start back up again in January, we will go back to the twice a month
schedule as usual.
-
The Santa Sale is set for December 4th and 5th
with a half day on the 6th for a make up day. Amy Smith is going
to talk with Leslie Treaster, who is chairing that committee, about what she
wants to do. There are several options for purchasing items to sell at the
store.
-
Maryann Haines reported that the yearbook is underway. We need to
pick a cover next. She also reminded Mr. LaMarca and Mr. Henry that they
can be using the yearbook camera to take pictures of school events and
activities.
-
Susan Taylor is looking into the Book It program at Pizza Hut. Under
this program the teachers can set reading goals for their students and each
student that reaches that goal each month would get a certificate for a free
personal pizza, a card, a clip, a sticker, etc. After Susan gets more
information we are going to take a look at incorporating it into the Reading
Challenge.
-
Mary Pursel is still checking into the donation program at the Giant
grocery stores.
-
Natalie Sutton is currently compiling a list of the Buchanan staff’s
birthdays. She has already begun to send out birthday cards from the Home
and School.
-
Home and School meetings are the third Tuesday of every month. The
next meeting will be Tuesday, November 20, 2007 at 6:30 p.m. during the Home
and School Skating Party at the Carousel Skating Rink. There will be no
Home and School meeting in December. We will resume again then on Tuesday,
January 15, 2008 in the Buchanan library.
September 18, 2007
-
Present were Amy Smith (President), Maryann Haines (Vice President),
Mary Pursel (Treasurer), Jennifer Hepner (Secretary), Tina Colyer, Sheila
Tipton, Andrea Grassmyer, Denise Smith, Leslie Treaster, Natalie Sutton,
Susan Taylor, Jeannie McCartle, Fiona Closson, and Gary Henry.
-
Amy Smith called the meeting to order.
-
We went around and did introductions since we had a lot of new faces.
-
Secretary’s Minutes: Jennifer Hepner read the minutes from the
August 2007 meeting.
-
Treasurer’s Report: Mary Pursel reported that there is $1,165.15 in
the checking account and $5,303.14 in the savings account. She also
distributed a report to everyone detailing all transactions since school
ended in June.
-
The student artwork from last year has been framed and the pictures
and name plates have been picked up.
-
The Fall Fundraiser will kick off with an assembly Friday, September
21st. The fundraiser forms will go home that day. The orders
and money will be due Tuesday, October 9, 2007. The items will arrive on
Thursday, November 15, 2007. Andrea Grassmyer is heading up this committee
and will contact volunteers to assist her.
-
Maryann Haines is still going through the volunteer forms that we
sent out to the parent and were returned. There is a lot of interest this
year. Each committee chairperson will receive a list of volunteers to
contact for their committees. We also now have chair people for all but one
committee. They are as follows:
o
Fall Fundraiser – Andrea Grassmyer
o
Reading Challenge – Jennifer Hepner
o
Yearbook – Maryann Haines
o
Santa Sale – Leslie Treaster (would like a second chair, this
is a large job)
o
Spring Pie Sale – Sheila Tipton
o
Book Fair – Fiona Closson
o
School Store – Bryon Haines and Denise Smith
o
Assemblies – Fiona Closson (would like to find a different
chair since she has two committees)
o
Hospitality – Tina Colyer
o
Skating Party – possibly Mrs. Carrington
o
Field Day – NO CHAIRPERSON
-
The school store chairpersons would like to have the school store
every Friday for a least the first couple of months until Kindergarten and
First Grade are acclimated and then they will cut back to the regular twice
a month.
-
The theme for the Reading Challenge this year will be “Charge Into A
New Adventure! Read A Book!” It will center around horses. We will start
the Reading Challenge on Monday, October 15, 2007 with a kick off assembly.
The Reading Challenge would then end on January 31, 2008 with a final
assembly to follow sometime in mid February, 2008. Jennifer Hepner is
heading up this committee and will contact volunteers to assist her.
Everything will be the same as last year, with a few specifications added to
the rules. The students will not be allowed to count any books read for a
school assignment or project. Also, only full sheets of 10 books will be
counted, even at the end of the Reading Challenge.
-
The school skating party will be Tuesday, November 20, 2007 from 6:00
– 8:00 p.m. at the Carousel Skating Rink. Permission slips will be
distributed to parents and will have to be brought in to the party for the
child to stay. Maryann Haines is going to call the Carousel and schedule
the party.
-
Box Tops for Education are always collected by the fifth graders to
raise money towards their trip to Shaver’s Creek. We will ask Mr. LaMarca
to include information about this in his next newsletter to inform parents.
-
Mary Pursel is going to look into the donation program through Giant
grocery stores.
-
Susan Taylor is going to look into the Domino’s program, similar to
Hoss’s Night.
-
Natalie Sutton will start sending birthday cards to the Buchanan
Staff on behalf of the Home and School.
-
Home and School meetings are the third Tuesday of every month. The
next meeting will be Tuesday, October 16, 2007 at 6:30 p.m. in the Buchanan
Elementary library.
August 21, 2007
-
Present were Amy Smith (President), Maryann Haines (Vice President),
Mary Pursel (Treasurer), Jennifer Hepner (Secretary), Sheila Tipton, Andrea
Grassmyer, Mr. LaMarca, and Mr. Henry.
-
Amy Smith called the meeting to order.
-
Treasurer’s Report: There is $1,310.01 in the checking account and
$5,295.62 in the savings account.
-
Secretary’s Report: None was given since this was the first meeting
of the new school year.
-
Jennifer Hepner is going to order 50 monthly calendars for the
Buchanan Staff. We will try to have them here before next week.
-
Since there is no set day for teacher work day this year we have
decided to not have the Teacher Luncheon and just bring in snacks for the
second day of teacher in-service. Jennifer Hepner will order a fruit tray
from the Giant store and pick up paper products and beverages at the Dollar
Tree. Andrea Grassmyer, Maryann Haines, Jennifer Hepner, and Amy Smith will
all make desserts. We will bring in the food around Noon on Tuesday, August
28th.
-
Maryann Haines is getting a free digital camera from our yearbook
company, Jostens. Therefore, we will not be buying disposable cameras for
the teachers. When we get the digital camera it will be placed in the
office for anyone to use when they have an activity they would like to
photograph for the yearbook.
-
Andrea Grassmyer is heading up the Fall Fundraiser Committee this
year. She has already met with the fundraiser rep and everything is about
ready to go. The fundraiser will kick off on September 21st with
an assembly at 2:00 p.m. in the cafeteria. The sale will end on October 9th.
Money is going to be due with the orders. All this information is on the
information sheet going home with the packet. The fundraiser items will be
delivered on November 15th. The rewards will be different from
previous years. Kids can earn the opportunity to go to a Magic Show
Assembly and earn the opportunity to sit in the VIP section at the
assembly. They can also earn multiple money pens, a Build-A-Bear, and a
Build-A-Bear outfit. It was decided to have an assembly for everyone who
wins a Build-A-Bear where they can put their Build-A-Bears together and
maybe have a snack of popcorn and a drink.
-
We are going to go further in our attempt to set up committees for
the different activities Home and School provides to the school. We would
like a chairperson for each committee who will essentially run the activity
and as part of being chairperson, come to Home and School meetings
regularly. Fiona is chairing the Book Fair committee but we are going to
approach her about chairing the Santa Sale committee instead. Jennifer
Hepner agreed to chair the Book Fair committee if Fiona changes to the Santa
Sale and we cannot find someone else to chair this committee. The following
is a list of committees we would like to have and a chairperson is listed
for that committee if one is in place:
o
Fall Fundriaser – Andrea Grassmyer
o
Reading Challenge – Jennifer Hepner
o
Yearbook – Maryann Haines
o
Santa Sale – one to staff and run, ?? and one to stock, Amy
Smith
o
Spring Pie Sale – Sheila Tipton
o
Book Fair – Fiona Berry
o
School Store – one chair to staff, Brian Haines and one chair
to stock, ??
o
Field Day - ??
o
Assemblies – maybe Jenny Milliken and Lisa Kyle
o
Hospitality - ??
-
As for the Santa Sale, it was discussed that we might look into a
program the Dollar Tree has and use that in conjunction with ordering from
Terry’s Village to stock the Santa Sale instead of Amy Smith buying from the
wholesaler that we have used in the past.
-
The popcorn machine is going to be set up on the teacher work room
for the staff to use if they choose. We can buy the popcorn/butter packs
for $15.48 for 36 packs at Sam’s Club. Each pack can feed a class. This
comes to $.43/pack and would be cheaper even than buying a box of microwave
popcorn.
-
Kate Swigart, from Communities That Care, met with Mr. LaMarca and
offered to lend some financial help to the school for something. Mr.
LaMarca suggested having a Fall Carnival for the kids and their families.
Home and School agreed that a carnival would be a good idea. We will
discuss this further. Obviously if we do decide to hold a Fall Carnival it
would be next Fall at the start of the 08-09 school year.
-
We got the framed illustrator’s drawing back from the TSA student.
Amy is going to order a nice tag for it from Recognition Engraving. It will
then be hung somewhere in the school.
-
The folders Home and School ordered for incentives for the Character
Trait program and finished. Home and School agreed to make a $50 donation
to the IVHS TSA for assisting us with these.
-
Home and School also agreed to make a $50 donation to the LMS for
providing child care for last school year’s Home and School meetings.
-
Over the summer, Home and School agreed, at Mr. LaMarca’s request, to
pay for the A-Z Reading Program for each grade level. Mr. LaMarca explained
the program to everyone at the meeting.
-
Jennifer Hepner is going to make a comment sheet for the staff to use
if they have any suggestions, comments, or complaints about anything
relating to Home and School. Mr. LaMarca is also asking a different teacher
to come to each Home and School meeting over the year.
-
Some guidelines are going to be created for the School Store this
year for teacher’s to go over with their students. Then, if a student
violates the guidelines or causes problems, that student’s name will be
turned in to their teacher and their School Store privileges will be
suspended temporarily. We are also looking into changing the day of the
week for the store.
-
Mr. LaMarca and Mr. Henry were asked if any large equipment was
needing updated or purchased. Mr. Henry suggested looking into purchasing a
computer/DVD projector for the teachers to share.
-
Mr. Henry then said that the cable at the school has not been right
for a while and wondered if we might be able to pay to have this fixed.
Maryann Haines is going to look into this.
-
It was also discussed that we might request to have a project at the
school done as part of the United Way Day of Caring this year. We might
look into having our ball field at the end of the playground fixed up.
-
Home and School meetings are the third Tuesday of every month. The
next meeting will be Tuesday, September 18, 2007 at 6:30 p.m. in the
Buchanan Elementary library.
